EDUCATION BUILDING THIRD FLOOR DECK RESERVATION POLICY
SUMMARY
The primary purpose of the third floor deck at the Education Building is for general use by students, staff, and visitors on a drop-in basis. Use of the deck for events and meetings requires the approval of School of Education Building Services and is subject to the policy details listed below.
POLICY DETAILS
- Events must take place outside of normal business hours.
- Monday-Friday: 4:30pm or later (Set up can begin no earlier than 3:30pm)
- Saturday-Sunday: Anytime
- Deck reservations are contingent on an available back up location inside the Education Building.
- School of Education Building Services staff must be present for all deck events.
- Fees for staff will be assessed according to current Education Building rates.
- Moving of deck tables must be approved prior to the event and must be handled by School of Education Building Services only.
- Fees for deck table re-arrangement or removal will be assessed according to current Education Building rates.
- Deck umbrellas are must be operated by School of Education Building Services only.
- School of Education Building Services reserves the right to take umbrellas down due to high winds or other safety issues.
- Organizations reserving the deck are responsible for cleaning up any materials they bring to an event, i.e. – food and related items, handouts, etc.
- School of Education Building Services reserves the right to move any deck event indoors.

School of Education Event Sponsorship
School of Education departments and units may sponsor use of Education building spaces for UW–Madison departments; recognized student, faculty, or staff groups; and State of Wisconsin governmental agencies for events appropriate to the mission of the School of Education.
The sponsored events will be charged at the School of Education rate, but the sponsoring School of Education department/unit will be responsible for any fees associated with the event.
This policy cannot be used to sponsor revenue producing* events at the Education building.

Room rental includes the room use, standard furniture layout with minor changes, and any audio/visual (AV) items installed in the room. Requests for AV Items and Additional Items & Services must be made at least 1 business day before an event. Custom AV Requests must be made at least 3 business days in advance. School of Education meeting rooms at the Education Building are operated and maintained by the School of Education Building Services.
While there are some dedicated funds available to maintain and upgrade classroom spaces used for timetable instruction, there are no dedicated revenue streams for meeting rooms. The charges associated with room rental, AV items, and other services provide funding for staff time and maintenance of the furniture, equipment, and room infrastructure.
ROOM CHARGES
The room use includes the standard room furniture set up and all audio visual equipment built into the room. There is no charge for room use to School of Education departments or units; that cost is covered as part of general School of Education operations.
The charges for non-School of Education departments, units, or organizations are assessed to cover the operating costs associated with the room use.
AV ITEMS AND ADDITIONAL ITEMS AND SERVICES
Fees may be charged to for equipment, furniture, room set-up, or other items that are not part of the standard room set up. The rates vary according to the type of organization using the room.
These fees cover the cost of staff time, including training, to provide the various services, as well as some of the cost of equipment, furniture, and room maintenance.
